Every day, companies around the world conduct short stand-up meetings. These meetings are designed to keep teams aligned and on track as they discuss what has been done, what needs to be done, and what might block or impede the work from getting done.
The “Daily stand-up guide” course is designed to help you set up and implement stand-up meetings using Lucidspark—a virtual whiteboard that brings teams together in collaboration no matter where they are located. The guide will give you tips to:
-
Set up and prepare a daily stand-up meeting template
-
Effectively use the stand-up meeting template to facilitate collaboration from all team members, whether remotely or in the office
-
Create a system of record to document your daily stand-up meetings
What is a stand-up meeting?
Stand-up meetings, also known as daily Scrum meetings, are popular with teams working in Agile environments.
Stand-up meetings give each team member the chance to answer the following questions:
-
What did you do yesterday?
-
What are you planning to do today?
-
Are there any obstacles or challenges blocking your progress?
When set up and implemented correctly, these meetings increase team communication, encourage collaboration, and provide transparency.
Tips for facilitators and collaborators
The following tips can help facilitators and collaborators run a smooth, efficient, and short stand-up meeting.
Tips for facilitators
-
Start with a Visual Activity or an icebreaker. This shouldn’t take too long. The idea is to involve everyone so they’re comfortable communicating.
-
Ensure all team members understand what each section of the board is for and how to interact with it. Let everybody know how long it should take to fill out each section.
-
Start the timer when team members are ready to fill out their section of the board. Provide transparency about how much time is left to help keep team members on track.
-
When the sections are filled out, take turns reporting.
-
Encourage team members to put off-topic items and questions on sticky notes in the parking lot.
-
Add a link to the stand-up board in your meeting invite so the team can easily access it daily.
Tips for collaborators
-
Identify your collaborator color at the start of the stand-up meeting. The color helps team members identify who has added what to the board.
-
Use emojis and GIFs to express excitement or to emphasize an idea that has been placed on the board.
-
Resist the urge to interrupt. To keep the meeting moving, place any questions or ideas on a sticky note in the parking lot. These items can be addressed later. Double-clicking in a blank space on the board creates a blank sticky note in your collaborator color.
Tips for daily stand-up documentation
Lucidspark makes it easy to keep all the documents you use frequently in one easily accessible location.
-
Save your frequently used documents by copying and pasting a link to them in your Team Space. This gives the team visibility and easy access to the documentation throughout the sprint.
-
When the sprint is completed, copy and paste the stand-up board’s contents to a Breakout Board and title it using the sprint dates. This gives you a record of projects, tasks, and notes that can be easily accessed if you need them.
